Tinantra LLC ("Tinantra," "we," "us," "our") operates the tinantra.com website, booking, and client portal services. This Privacy Policy explains what personal information we collect, how we use it, and your choices around it when you visit our website, book a cleaning, or use our client portal.
By using our website or services, you agree to the collection and use of information in accordance with this policy.
1. Information we collect
We collect information you provide to us directly and automatically when you use our services.
- Contact and booking info. When you request a quote, book a service, or use the contact form we collect your name, email address, phone number, address or service location, property details (square footage, bedrooms, bathrooms), preferred schedule, and any notes you share.
- Client portal account. If you use the client portal, we collect your email and authentication credentials (via Supabase Auth). We do not store your password in plain text.
- Payment requests. If you submit a payment request, we collect your name, contact info, invoice/job reference, and optional amount. We do not process or store full credit card numbers or bank account details on our website; those are handled by the payment processor you agree to use with our billing team.
- Communications. If you message us through the portal, email, or phone, we keep a record of that correspondence so we can respond and support you.
- Usage data (website analytics). We collect basic usage information — browser type, device, pages visited, referring URL, approximate location (metro/city-level, not your home address), and time on site via Google Analytics 4 and Google Tag Manager. This is used in aggregate to improve the website and is not linked to your personal booking identity unless you submit a form.
2. How we use your information
- Provide, schedule, and deliver cleaning services.
- Contact you to confirm bookings, answer your questions, and send service reminders.
- Process CRM entries, billing follow-ups, and service confirmations.
- Operate, maintain, and improve the website, booking flow, and client portal.
- Send transactional emails (booking confirmations, receipts, portal notifications). Marketing emails are not sent without explicit opt-in consent, and you can unsubscribe at any time.
- Comply with legal obligations such as tax record-keeping, insurance requirements, North Carolina business regulations, and lawful government requests.
- Prevent fraud, enforce our terms, and protect the safety of our staff and clients.
3. How we share your information
We do not sell your personal information. We share it only in these limited circumstances:
- Service providers. With vendors and subcontractors that help us run the business: Supabase (database + auth), Vercel (hosting), Sanity/Contentful (CMS), Google Analytics 4 / GTM (analytics), HubSpot/Airtable/Sheets (CRM), and our email/notification providers. Each has access only to the info they need to perform their job and is contractually required to protect it.
- Cleaning staff. Our on-site crew sees your first name, service address, service instructions, and any pet or access notes needed to perform the clean. They do not see your email, payment details, or portal password.
- Legal & safety. If required by law, subpoena, court order, or to protect the rights, property, or safety of Tinantra, our staff, clients, or the public.
- Business transfers. In the event of a merger, acquisition, or asset sale, your data may be transferred as part of that transaction, subject to the same or substantially similar privacy obligations.
4. Retention
We retain booking and client records for as long as reasonably necessary to provide services, operate the business, comply with legal obligations (taxes, insurance audits), resolve disputes, and enforce agreements — typically 3–7 years after the last service date. Portal messages are retained until account closure or until you request deletion, whichever is later.
5. Security
We use industry-standard security measures: HTTPS on all pages, Supabase/Auth managed encryption at rest and in transit, password hashing, role-based access to internal systems, and Least Privilege for our service vendors. No method of transmission over the internet is 100% secure, but we work to protect your personal information to commercial standards.
6. Your rights & choices
Depending on your location, you may have rights to access, correct, export, or delete your personal information; to withdraw consent where you previously gave it; to object to or restrict certain processing; and to lodge complaints with a data protection authority.
To make a request, email us at hello@tinantra.com with "Privacy Request" in the subject line. We respond within 30 days.
7. Cookies
We use strictly-necessary cookies (auth sessions), analytics cookies (GA4 via Consent Mode), and preference cookies. You can disable cookies in your browser, but doing so may affect features like the client portal login.
8. Children's privacy
Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete it promptly.
9. Links to other sites
Our website may contain links to external sites (Google Reviews, Yelp, booking calendar tools, payment links). We are not responsible for the privacy practices of those third-party sites.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new "Last updated" date and, for material changes, provide a notice on the homepage or by email to active clients.
